Role and responsibilities

  1. The secretary is responsible to the KCNZ Board to ensure efficient records of Board meetings and procedures are maintained.

Specific Tasks

  1. Ensure that all Board members are kept informed of impending meetings and are available.
  2. Ensure that all minutes recorded at meetings are accurate and will be typed and forwarded to each member.
  3. Ensure any correspondence is answered and responded to appropriately.
  4. Will carry out required administration tasks.
  5. Provide an agenda for each meeting to be circulated prior to the meeting, and include in such, policies due for review.

Standard Meeting Format

  1. Welcome and opening
  2. Apologies
  3. Minutes of the previous meeting
  4. Matters arising from the minutes
  5. Correspondence
  6. Matters arising from the correspondence
  7. Reports (ie. financial reports)
  8. Policy Review
  9. General business
  10. Set the date for the agenda and next meeting
